About the role

The ideal candidate will efficiently manage office operations and procurement processes, ensuring the seamless acquisition of goods and services while providing comprehensive administrative support to enhance the overall functionality and productivity of our office as well as our lab.

What you’ll do…

  • Purchase Order Management: Preparing, issuing, and tracking purchase orders.
  • Inventory Management: Keeping track of inventory levels and reordering supplies as needed.
  • Delivery Scheduling and Coordination: Coordinating with suppliers to schedule deliveries and ensure timely receipt of goods.
  • Office Supplies Management: Keeping track of office supplies and restocking as necessary.
  • Managing Correspondence: Handling incoming and outgoing emails, letters, parcels and phone calls.
  • Scheduling and Calendar Management: Organizing meetings, and appointments, and maintaining an up-to-date calendar.
  • Document Management: Creating, organizing, and maintaining files and records, both digital and physical.
  • Supporting Staff: Assisting other staff members with administrative tasks e.g. during the on-boarding process and as needed.
  • Meeting Coordination: Arranging meeting logistics, such as room bookings, equipment setup, and catering.
  • Travel Arrangements: Organizing travel plans and accommodations for staff.

What you Bring…

  • Minimum of 2 years of work experience in a similar role is required
  • Proficiency in both English and Italian (minimum C1/C2 level) is required.
  • Strong IT skills, including proficiency in Mac OS, the Google suite, and Office 365.
  • Possession of a university degree
  • Effective skills in scheduling and coordinating both hybrid and in-person meetings.
  • Strong communication abilities.
  • Ability to comfortably interact with others.
